Microsoft offers its Office 365 users several paid options for archiving data, managing document versioning and keeping deleted items for a desired period of time.

However, if important data is unintentionally deleted or corrupted, it may take a while for an organisation to detect it. Even if you pay Microsoft for data archiving, missing data cannot be recovered after the retention limit. Office 365 offers basic protection against some of the things that could damage your data, but there are many threats it doesn't protect you from.

The holy trifecta of data protection is the main reason you should offer a 3rd party backup solution.

The 3-2-1 backup rule recommends that you have three copies of your data on two different pieces of media, including one offsite backup. Relying on Office 365 to backup itself goes against this golden data protection rule by relying on protections that are built into Office 365 itself. Even Microsoft agrees; in their Service Agreement for Office365 they recommend you should "regularly backup your content and data that you store using Third-Party Apps and Services."

If your end-user accidentally deletes an email, OneDrive file or SharePoint item, that item is safe for a limited time before it expires, but what if it isn't noticed until after the retention period, or worse, deleted from the recycle bin by malware?
